Job Termination Letter

When an employer has determined that a particular worker needs to be relieved of his duties, there is a process that must be followed. Part of this termination process involves writing a job termination letter. When doing so, it is crucial to be clear on when the termination takes effect. This will avoid any confusion between the employer, employee, and fellow workers. The letter should also explain why the change in job status has occurred. It is also helpful to provide documented evidence, and to present it in such a way that the person understands what the problems (if any) were. In addition, what remaining pay to which the person may be entitled must be clearly delineated, in accordance with wages still owed (including vacation time and sick leave), and company policy regarding severance pay. It is also advisable, according to legal experts, to be firm but compassionate when presenting the letter. These both reflect well upon the company, and it may avoid potential legal problems.
